Managing Contacts in Cobot

Keep track of your visitors, including Drop-ins, external bookers, event attendees and other guests.

The Contacts feature in Cobot helps you manage visitors and non-members who access your space.

Cobot automatically saves the contact details of anyone who purchases a Drop-in Pass, attends an event or who makes an external booking.


In addition to these automatically added contacts, you can also manually add new contacts or leads, export your contact list, create invoices, and easily convert contacts into members.


Viewing and Managing Contacts

All customers making an external booking, purchasing a Drop-in Pass or attending a public event are automatically added to your contact list under Manage » Contacts.

The contact list includes sortable columns and all contact details at a glance.

  • Name, e-mail address and company

  • Number of

    • External bookings made

    • Drop-in Passes purchased

    • Events attended

  • Tags

Click a contact to open their details page. From here, you can also convert the contact to a member, create an invoice for them or edit their details.

Adding Contacts

A Contact is any non member who uses your space. This includes visitors, guests of members, people who purchase Drop in Passes, or those who book a public resource.

You can add Contacts automatically or manually.

Contacts added automatically

When someone makes an external booking or purchases a Drop-in Pass, Cobot stores the details you collect, such as name, email, company and address, as a Contact.

Contacts added manually

If you’d like to manually add a contact, go to Manage » Contacts » Add Contact button in the upper right of you Contacts dashboard.

On the next page, enter their name, company, email, address, and phone number.

💡 PRO TIP 💡

If a contact makes multiple bookings or purchases another Drop-in Pass in the future using the same email address, Cobot just updates the existing contact.


Converting Contacts to Members

A visitor booked a resource, loved your space and would love to become a regular member of your community? Great! You can easily convert them to a member!

To convert a contact to a member, just click Convert to Member.

You can access this button in two places: on the Contacts list under Manage » Contacts next to the contact’s name, and on the contact’s details page in the upper right corner.


Invoicing Contacts

Need to bill a contact for a drop-in, resource booking, or other charge? You can create an invoice for any contact directly from their details page. Go to Manage » Contacts, click on the contact's name » 'Create Invoice.'

For a complete view of all contact invoices alongside your other billing activity, head to Manage » Invoices, where contact invoices are conveniently consolidated with the rest of your invoices in one central location.
