How to Book Resources as a Member

Learn how to book meeting rooms, conference rooms, flexible desks or any other bookable resources of your space

This guide explains how you can book resources (e.g. meeting rooms, flex desks or phone boxes) in your coworking space as a member.

If you prefer not to become a member, contact your coworking space directly. Many spaces offer one-time or drop-in booking options for non-members.


Become a member

Before you can make a booking, you first need to become a member of the coworking space. To do this, go to the homepage of your space, select a plan, click on "Sign up", then enter your details and click on "Register for a fee".

This screen displays two coworking membership plans. The Part-Time plan costs 150 USD per month and includes shared workspace access, with automatic renewal. The Full-Time plan is priced at 400 USD per month, also with automatic renewal, and likely offers more extensive access or benefits. Both plans feature a Sign Up button and a Details link for more information.

After your membership is confirmed, you will receive a confirmation email and gain access to your member portal.


Book Your Resources

Once you have signed up, you can log in to your Cobot member portal at any time. To do this, use the email address you registered with and a password of your choice.

In your member portal, you will find the Make Booking section on the left:

By clicking on it, you will be redirected to the booking page where you will find all bookable resources of your coworking space.

You can filter by different categories and select your desired date to see which resources are available for you.

  • If a resource is already fully booked or does not match your search criteria, it is grayed out and cannot be booked.

By clicking on "available" you can book your desired resource. The description and price will be displayed on the booking form. If you wish, you can add a title and/or comment to your booking, e.g. if you need more chairs or a second screen.

After clicking on "Save booking", the resource is booked and you will see the following screen:

This image shows that a booking for the Meeting Room was successful. It is reserved on January 4, 2024, from 10:00 AM to 12:00 PM for two hours. The cost was one hour of booking credits and 100 US dollars.

You can find an overview of your booked resources under Your bookings. All your upcoming and past bookings will appear there.


Invoicing

All booked resources appear on your monthly invoice and are billed retrospectively. This means you are only charged after the bookings take place.

  • For example, if your membership invoice is issued on the 1st of each month, your December 1 invoice includes:

    • Your membership fee for December 1 to December 31.

    • All resource bookings made between November 1 and November 30.

You can review your invoice details in your member account once the invoice is issued.
