Offering Discount Codes for External Bookings

Offer visitors a percentage or fixed amount off their bookings. Fill quiet periods, run seasonal promotions, and reward repeat visitors.

Discount codes for External Bookings let you give visitors a reduced price on meeting rooms, hot desks and other resources they book on your public homepage. Create them under Products » Discount Codes. Visitors enter the code at checkout and see the discounted total before they pay.


Before You Start

External Bookings is an option add-on. Make sure it's enabled for your space before you set up discount codes for visitors.

  • Discount codes for External Bookings only apply to visitor bookings made on your public homepage.

  • To give members a discount, use a code with the Membership Plans category or adjust their plan. See Offering Discounts and Promotional Rates.


Create a Discount Code for External Bookings

Basic Settings

  1. Go to Products » Discount Codes.

  2. Click Add Discount Code.

  3. Enter an Internal Name for your own reference, for example Autumn meeting room promo. Only admins see this name.

  4. Enter the Code visitors type at checkout, for example autumn2026.

5. Under Product Category, select External Bookings.

6. Under Resources, select the resources the code applies to, for example Conference Room. Click Select All to apply it to every bookable resource.

7. Under Discount, choose Percentage (for example 25% off) or Fixed Amount (for example $20 off) and enter the value.

​Optional:

  • Optional: set a date under Code expires on. After this date, visitors can no longer redeem the code. Leave it empty for no expiry.

  • Optional: set a Usage Limit for the total number of redemptions. Leave it empty for unlimited uses.

8. Click Save. Your code is live and ready to share with visitors.

The discount applies to the full booking price, including booking extras and taxes. Keep this in mind when you set a fixed amount.

💡 Pro Tip: Create a separate code for each campaign or channel, such as a newsletter, a partner or an event. The redemption count in the overview then shows you which promotion brings in bookings.


How Visitors Redeem a Discount Code

Visitors enter the code during checkout when they book a resource on your public homepage.

They:

  1. Select a resource, date and time.

  2. Enter the code in the Discount Code field in their order summary.

  3. Click Apply.

How to Manage Discount Codes

All saved codes appear in the Discount Code Overview under Products » Discount Codes. For each code, you see:

  • The discount amount.

  • How often it has been redeemed.

  • The expiry date.

  • The product category (External Bookings or Membership Plans).

  • The resources it applies to.

Edit or Delete a Code

Open a code from the overview to change its settings, or delete it when the promotion ends.

💡 Good to know: Editing a code keeps it the same code. If you rename autumn26 to autumn2026, all previous redemptions stay linked to it.


Discount Codes on Visitor Invoices

A redeemed discount code shows up as a single line item on the visitor's invoice. To track discounted bookings in your revenue reports, set up Accounting Codes for your resources.

Troubleshooting

If a visitor's code doesn't work, open it in the Discount Code Overview and check these settings:

  • Product category: The code must use the External Bookings category. Membership Plan codes only work during member sign-up.

  • Resources: The resource the visitor wants to book must be selected on the code.

  • Expiry date: The code stops working after the date under Code expires on.

  • Usage limit: Once the code reaches its usage limit, visitors can no longer redeem it. Raise the limit or leave it empty for unlimited uses.

  • Spelling: The visitor must enter the code exactly as you saved it.
