Get Reminder Notifications for Cobot Bookings in Your Personal Calendar

Use Cobot's .ics feed to get notified of upcoming bookings in the calendaring app of your choice.

iCalendar (.ics) is a standard method of transferring calendar information between computers, web apps, and other scheduling software. This standard allows products from many vendors to share calendar information with each other. This will enable you to view your Cobot calendar from any calendar software that supports iCalendar, such as Calendar on Mac or Outlook on Windows.

⚠️ Note: The iCalendar open standard should not be confused with "iCal," the former name for the commercial product "Calendar" developed by Apple.

Using .ics with Resource Bookings

Whenever you or your members make a booking, you will see a .ics button at the top of the page.

When you click on the link from the admin portal under Calendar » Calendar, you will see an option to subscribe to all resources or just one. Each resource will have a unique URL. Follow the instructions within your calendar application to subscribe.

Your members will see something slightly different. They will have a single link they can use to subscribe to just their bookings. Instruct them to follow the instructions within their calendar application to subscribe.

Using .ics with External Bookings

When making an external booking, the confirmation email includes an .ics file for people to add it to the calendar apps of their choice.

This screenshot shows an example of an external booking showing up via the iCal Feed in a different Calendar system.  You can see the which meeting room was booked, and at what date and time.


IMPORTANT NOTES ON NOTIFICATIONS

  • Once you have subscribed to the .ics file, you'll need to enable notifications in the calendaring app you used to open the file - like Outlook or Mac Calendar.

  • It can take up to 10 minutes for bookings to sync from Cobot to a personal calendar.
