Pausing Memberships

Memberships can be 'paused' in one of two ways.

There are two ways to 'pause' a membership in Cobot:

  1. Temporarily cancel a membership and then manually reactivate it at a later date

  2. Assign the member to a special 'canceled' plan, then set their membership to change to a paid plan at a later date

Here's how to do both:

1. Temporarily cancel their membership and manually undo their cancellation later

This image shows the membership management menu, where you can cancel a member’s subscription, edit contact details, or adjust start and renewal dates.

This works as a 'pause' function. Simply visit their profile and go to their 'Membership' section and click 'Cancel Membership'.

Next, set a date in a calendar/reminder app of your choice (like Google Calendar or Outlook) to login to your Cobot account and reactivate their membership by selecting 'Undo cancellation' like so:

This image shows the option to undo a canceled membership, along with options to edit contact details, view messages, or delete the member.

2. Move the member onto a 'free' plan and set it to change at a later date

If you don't normally offer a free plan you can create a 'hidden' one under Setup » plans and tick the 'hidden' checkbox so that it does not show up publicly:

This screen shows that the membership plan is set to “Hidden,” meaning only those with a secret link can access it. Additionally, new members must be approved by an admin before joining.

Move the member over to this new, free plan under their 'Plan' settings:

This screen shows the current plan, its monthly cost, and provides the option to change, customize, or view the history of the plan.

After saving your changes, go back again following the step above, but this time, select the next plan you expect them to take on and select a future date. This way, they'll automatically change to the new 'regular' plan (for which they will be charged) at a date in the future.

This screen allows you to set the date when the new plan will take effect and when the first invoice for the new plan will be sent. Note that any manual adjustments for previously paid fees must be handled separately.

IMPORTANT NOTES

When members are moved over to a free plan (and are not paid for by anyone else), they are removed from your active member count.
