Keep track of visitors to your space, including Drop in Pass users, external bookers, and other guests, in one place.

The Contacts feature in Cobot helps you manage visitors and non members who access your space.

Cobot automatically stores the contact details of anyone who purchases a Drop in Pass or books a publicly listed resource. You can also add contacts manually, download a list of members, and convert contacts into members.

Viewing and Managing Contacts

Go to Manage » Contacts to view all contacts. The list includes sortable columns that show their bookings, Drop in Passes purchased, and company, if available.

Click a contact to open their details page. There you can view their information, bookings (events or resource bookings), Invoices and any Drop in Passes they have purchased.

Adding Contacts

A Contact is any non member who uses your space. This includes visitors, guests of members, people who purchase Drop in Passes, or those who book a public resource.

You can add Contacts automatically or manually.

Contacts added automatically

When someone makes an external booking or purchases a Drop in Pass, Cobot stores the details you collect, such as name, email, or address, as a Contact.

Contacts added manually

If you’d like to manually add a contact, go to Manage » Contacts » Add Contact button in the upper right of you Contacts dashboard.

The screenshot shows a contact management table listing companies (in this case, all labeled "Cobot") along with their associated number of bookings and drop-in passes. Each row includes options to "View Membership," "Convert to Member," edit the entry, or delete it. At the top right, there are buttons to download the list as a CSV file or to add a new contact.

On the next page, enter their name, company, email, address, and phone number.

IMPORTANT NOTES

💡 Contacts are not duplicated with future purchases. If someone makes a new booking or buys another pass using the same email address, Cobot updates the existing contact.

Converting Contacts to Members

To convert a contact to a member, click 'Convert to Member.'

You can access this button in two places: on the Contacts list under Manage » Contacts next to the contact’s name, and on the contact’s details page in the upper right corner.
