Connecting Cobot to ezeep Blue

Connect Cobot to ezeep Blue to optimize and track printing in your space.

ezeep is a cloud-based printing solution that makes printing easy, secure, and accessible from any device—without the need for local printer drivers or complex setup. Designed for flexible work environments like coworking spaces, ezeep Blue lets members print directly from their laptops, tablets, or phones, whether they’re on-site or working remotely.

By integrating ezeep Blue with Cobot, you can automatically grant printing access to your members, making printing one less thing to worry about.


Before you get started

You will need to have an ezeep account before you can connect Cobot with ezeep Blue. You don't have one? Click here.

Setting up Your Ezeep Organisation

Once you have created your ezeep account, you can configure your printers, which will be assigned to your Cobot users in a later step.

💡 If you are running more than one space with Cobot, you need to create an Organization in ezeep for each of your Cobot spaces.

Setting up Your Printing Products in Cobot

The next step towards automating your printing management is to configure your printing products and their prices in Cobot.

  1. In your Cobot account, navigate to Products » Products & Services.

  2. Add a Product for each of your printing products, e.g. Page B/W (0,75€ per item) or Colored Page (1€ per item).

  3. Choose price per item.

  4. Save your settings.

Connecting Cobot and ezeep Blue

Once you have set up your printing products in Cobot, you can get started and connect Cobot and ezeep Blue.

  1. Log in to your Cobot account.

  2. Navigate to Add-Ons » ezeep Blue » Connect.

And that’s it! ezeep Blue will automatically be added to your Cobot account under Setup.

Clicking on ezeep Blue will take you directly to your ezeep Blue portal, where you can adjust your settings to ensure members are accurately billed for their printing.

Synching Your Printing Fees

In order to make sure your members are charged when printing via ezeep Blue, you need to synch your printing fees in the next step.

  1. Click on Printing Fee Management » Go to Settings.

  2. From a Drop-Down menu you will be able to select any charges you have previously set up under Products » Products and Services in your Cobot account.

Synching Your Members

Next, configure user synchronization between your Cobot account and your ezeep Blue organization.

  1. Click on User Management » Go to Settings » Synchronize Users.

⚠️ Only your members added with name and e-mail will be considered for synchronization.

Syncing All Plans

Clicking on Synching All Plans will synchronize all your Cobot Membership Plans over to ezeep Blue.

Syncing Only Specific Plans

Alternatively, you can only select specific plans you wish to synchronize over to ezeep Blue. You will see a summary of what will happen. You can then click on Synchronize Users.

After clicking on Synchronize Users, all active members on the selected Plans will be synchronized over to ezeep Blue.

  • Under Recent Activities, you will see whether the synchronization was successful and how many members were synchronized.

In your ezeep Blue account, you will now be able to see the synchronized members. You can see:

  • Their name and e-mail address

  • Their Role (Admin or Users)

  • Their invitation status

Clicking on the Edit symbol next to the user will give you additional information as well as allow you to assign specific printers.

⚠️ You will need to assign at least one printer. If no printer is assigned to your member or their group, they will not be able to print.

Users and Groups

Instead of manually assigning printers to individual members, you can also create Groups with specific printer permissions in ezeep. This way, you can e.g. sync all Cobot members on plan 'Premium Membership' over to the group in ezeep which allows them to use all printers, while 'Basic Membership' members only get access to one printer.

Members Using ezeep Blue

Once you click on Synchronize Users, your Cobot members will receive an e-mail from ezeep.

Clicking on the link will forward your members to a screen where they can accept the invitation. They will either be asked to sign in with an existing ezeep account or to create a new one.

💡 When creating a new ezeep account, they will just need to add their name and a password. The e-mail will automatically be the same as their Cobot e-mail address.

Once they have set up their ezeep account, they are ready to print. They can either start printing directly from the web portal or download the ezeep printing app.

Clicking on Print Now will allow them to drop a file into the browser that they easily print with ezeep.

Any printed pages will automatically be added as a charge to your members’ monthly Cobot invoice. You can see the charge by going to their profile » Invoicing » Preview Next Invoice.

  • The charge will be showing as Printing x pages- and the item you have set up under Products » Products & Services (e.g. Page B/W).
