Analytics Overview

Learn about how Cobot's various analytics can be used - as well as how the numbers you see are calculated.

Cobot offers four basic analytics reports about your space. We also have a series of additional analytics add-ons.

The four basic reports are:

They can be found by clicking on Analyze in the side-bar menu to the left.

Members Analytics

Go to Analyze » Members to see your monthly member statistics. There are four tabs to explore.

This shows the membership changes section in Cobot. It has tabs to view an overview, new members, plan upgrades and downgrades, and cancellations.

  • Overview
    View metrics such as Total Members, Average Plan Duration and Members on free plans. A pie chart shows the distribution of members by plan, along with other helpful details.

  • New Members
    Only confirmed and active members are counted. This does not include non-members, such as visitors/contacts who book via external booking or use drop-in passes.

  • Up & Downgrades
    Shows members who have upgraded or downgraded their membership. These changes are listed chronologically.

  • Cancellations
    Shows members who have cancelled their membership plans. Cancellations show members who clicked the cancel button in the selected month (not the cancellation date itself).


Revenue Analytics

The Revenue tab gives you a quick overview of monthly revenue statistics.

Revenue is calculated based on invoice due dates. Cobot uses accrual accounting and ignores payment status, but excludes written-off invoices. All amounts exclude taxes.

  • The first pie chart shows total revenue by source, along with the percentage change from the previous month.

  • The second pie chart shows revenue by membership plan, helping you identify which plans generate the most income.

  • If activated, a third pie chart appears showing revenue by accounting code. This helps you track income based on your own categories.

How the Numbers Are Calculated

Cobot calculates revenue based on invoice due dates using accrual accounting, which counts invoice amounts before payment is received.

The Analyze Revenue section includes:

  • Paid invoices

  • Unpaid invoices

  • Excludes written-off invoices

  • All amounts exclude taxes

IMPORTANT NOTES

When you download line item invoice data for the same period, you will see separate columns for Amounts, Amounts with Tax, and Tax Totals. “Other” includes invoices created manually or line items added to existing invoices manually.


Attendance Analytics

The Attendance page shows total attendance in your space by plan. This data is most accurate when using Wi-Fi integration, but it also includes check-ins from the member check-in add-on and manual check-ins by both members and admins.

How the Numbers Are Calculated

  • Attendance is based on all check-ins recorded in the space.

  • Check-ins can come from Cobot, Wi-Fi integrations, or access control integrations.

  • Visits in total is the total number of check-ins in the selected month.

  • Members checking in is the number of unique members who checked in during that month.

  • Average check-ins per day is calculated by dividing the total check-ins in the month by the number of days in that month.



Bookings Analytics

The Bookings page shows key metrics for each resource, including:

  • Total number of bookings

  • Internal bookings made by admins and members

  • External bookings made via the External Booking portal (if active)

  • Number of members who booked

  • Average booking duration

  • Total booking duration

This data helps you evaluate resource performance. You can see if a resource is priced appropriately or if you might need to adjust pricing to increase usage. Each resource is listed separately, and calculations account for both capacity and availability.

How the Numbers Are Calculated

  • Use to capacity is calculated as:
    (Days per month × possible bookable hours per day) × resource capacity

💡 Note: If no values are set under Available Booking Times or Minimum and Maximum Booking Duration, the system defaults to 8 bookable hours per day.
