Publishing Guides and Tutorials for Your Members

Create guides to help members and visitors find essential information quickly:from member perks and space floor plans to FAQs and house rules. Pin your most important guides to the member dashboard, make them public for sharing outside your community.

Creating a New Guide

Go to Manage » Guides » Create a Guide to get started.

1. Give your guide a clear title

Your title should precisely describe the subject of your guide.

Your guides are displayed in alphabetical order by default.

💡 Pro Tip: If you'd like to organize your guides differently, add a number or letter at the beginning of the title.

2. Fill in the content

In the body field, add all the information you want to share with your members. You can:

  • Upload documents and images directly into the guide.

  • Add formatted text and hyperlinks.

  • Highlight text and use the formatting buttons that appear.

To structure your content, use subheadings, bullet lists, and images to improve readability.

💡 Pro Tip: Clear, well-structured guides reduce the number of support questions you receive. Take time to explain each step.

3. Control edit permissions

By default, your members can submit edits to your guides. Choose based on your preferences:

  • Keep edits enabled: Members can improve your guides and submit suggestions, creating a collaborative community resource.

  • Disable edits: Check Members cannot edit this tutorial to lock your guide and keep full control of the content.

💡 Choose based on your management preference and your level of trust in your community.

4. Decide who can see your guide

The Public checkbox controls visibility:

  • Public (checked): Your guide gets a shareable link. Anyone with the link can view it, even without a membership. Use this to publish information on your website or share with prospects and visitors.

  • Members only (unchecked): The guide only appears in the Member Portal. Only logged-in members can access it.

Making Guides Discoverable

Pin a guide to feature It

Pinning places a guide at the top of your members' dashboard in the Member Portal so they see it first.

How to pin a guide

  1. Go to Manage » Guides.

  2. Open the guide you want to pin.

  3. Check the Pinned box in the settings.

  4. Click Publish to save.

💡 The pinned guide now appears at the top of the Member Portal.

Manage multiple pinned guides

You can pin multiple guides at once. They appear in the order you pinned them. To change the order:

  1. Go to Manage » Guides.

  2. Click on the pinned guide.

  3. Modify the Pinned box as needed.

  4. Save your changes.

💡Recommendation:

  • Pin three to five guides maximum. Too many pinned guides reduce their effectiveness and can overwhelm your member portal.

  • Focus on guides that answer the most common questions or provide essential information.


Edit or delete a guide

To update or delete a guide:

  1. Go to Manage » Guides.

  2. Click on the guide in question.

  3. Click the guide title.

  4. Select Edit to make changes or Delete to remove the guide entirely.

Changes are applied immediately.

⚠️ Deleted guides cannot be recovered, so make sure you don't need the content before deleting.


How guides appear for your members

Your pinned guides appear on your member's main Dashboard, right at the top.

All guides, including your pinned ones, also appear in the Member Portal under Guides where members can browse a complete list and search for answers.

Members can:

  • Add new guides (if you've enabled this feature)

  • Edit existing guides (unless you've locked edits).

💡 Good to know: Pinned guides always appear first, followed by other guides in alphabetical order.


Best practices for writing guides

  1. Keep guides focused and complete. Cover all important points without overwhelming readers. Use clear headings and bullet lists to make information scannable.

  2. Stay current. When your policies, hours, or processes change, update your guides right away. Outdated information confuses members and increases support questions.

  3. Add visuals. Screenshots, floor plans, and diagrams clarify better than text alone.
