Cobot Glossary: Key Products Explained

Learn the difference between Resources, Allocations, Membership Plans, Drop-in Passes, Products and Services, and Monthly Extras, with examples for each.

This glossary explains the key product categories you can set up and sell via Cobot: Resources, Allocations, Membership Plans, Drop-in Passes, Products and Services and Monthly Extras. Each term comes with a plain definition, where to find it in Cobot and a real coworking example.

The short version: Resources are specific rooms and resources people book, Products and Services are things people buy on top, Membership Plans are recurring access for members, and Drop-in Passes are one-time access for visitors.

The quickest way to tell them apart: ask whether someone books it, buys it once, pays for it monthly, or just drops in for a day.

Resource

A Resource is anything people book for a specific time slot in the Booking Calendar, such as a meeting room, a phone booth or a desk. Each Resource has its own availability, booking rules and pricing: hourly or daily rates, fixed rates, discounts, or price caps.

Examples:

  • Meeting room for up to 8 people, $25 per hour

  • Phone booth, free for members on the Flex Desk plan

  • Event space, bookable only by visitors, $150 per day

Allocatable Resource (Allocation)

An allocatable Resource is assigned to a member or team long term instead of booked by the hour. You can use it to manage private offices and fixed desks.

Example: Office 3 is allocated to the Acme team from January 1 for $1,200 per month.

Membership Plan

A Membership Plan defines what a member gets each billing cycle and what they pay for it. Plans can include Booking Credits, Time Passes, Monthly Extras and access to specific Resources.

Examples:

  • “Flex Desk Membership”: $199 per month, free Flex Desk bookings all month, 10 hours of meeting room credits

  • “Fixed Desk Membership”: $299 per month, own desk (assigned with an Allocation), locker included

  • “Student Membership”: $150 per month, discounted phone booth bookings, access to standard meeting rooms only

Drop-in Pass

A Drop-in Pass gives visitors one-time access to your space without a membership or member account. Visitors buy the pass on your homepage and pay upfront, and Cobot then adds them to Contacts.

Examples:

  • Day pass for $25

  • Half-day pass for $15

  • Free trial day for people considering a membership

  • A team of 4 buying 4 day passes for a team day

ℹ️ Note: You need at least one payment method set up before Drop-in Passes appear on your Homepage.

Product or Service

A Product or Service is a one-time purchase. You can use it in 2 ways:

  • One-time fee: charged to a member once, for example a $50 fee for a lost key

  • Booking Extra: something people add while booking a Resource, for example catering or a flipchart

Monthly Extra

A Monthly Extra is an optional recurring charge on top of a Membership Plan. Members usually choose it when they sign up, and it’s charged with the membership fee on the monthly invoice.

Examples:

  • Private locker for $40/month

  • Second screen for $15/month

  • Virtual address for $49/month

  • Own parking spot for $45/month
