Converting Existing 'Paid For' Members to New Teams

Move your 'Paid For' Members over to Teams to unlock powerful tools for you and your Members.

You might have been using our legacy 'Pay For Other Members' feature as a workaround to manage teams. Now, you can easily convert such Members to the new Teams feature. All you have to do is to click on the Convert to Team button in the paying Member's profile.

Converting the Paying Member

Navigate to the paying Members profile under Manage » Members. Click on Convert to Team.

The next page will be the first form in the Team set up flow (click here to read more on setting up Teams who are not using the 'Pay For Other Members' feature).

  • The Paying Members details (name, address, customer no., Tax ID) will be auto populated in this form.

    • The paying Member will added as a Team Member and automatically converted to the Team Manager.

  • You can convert them on their original plan, or create a new one.

    • You will be prompted to review all plan details.


    • When choosing the EXISTING plan, the number of seats will be auto populated to account for the existing number of Members connected using the "Paid for By" feature.

      • When choosing a new plan, you will need to add the seats manually.

The team plan can be customized during migration process, or an entirely new plan created. Regardless of which you choose, the previous invoice date will be kept unless you choose a new one in this section of the Billing Form:

IMPORTANT NOTES

  • It takes a minute for the converted Team to populate, especially when there are lots of memberships, so don't stress! Take these few minutes to look out the window and manifest your best life.

  • You will also see the option to 'Convert to Team' button on all Members who are paying for someone else or being paid for by another Member. No matter which Member you convert from, the paying Member will be the one added to the billing details and made the Team Manager.



What Happens To The Old Memberships?

The Team Plan/Team memberships work differently than individual memberships. Think of it this way:

  1. Using the 'Pay For Other Members' feature, each person is an individual on their own plan, with their own bookings, dashboard, etc. and are tethered to another Member who just pays for their membership. These are multiple plans tied together.

  2. The Team Plan feature is one single plan used by a group (or Team) of people.

    As such, individual memberships are cancelled and a new single Team plan is created.

Here is what happens when converting individuals to a Team|:

  • Former 'paid for' memberships are canceled immediately.

    • Members will still access their Member Portal using their existing email and password.

  • Only current Members will be migrated. Cancelled Members will not.

    • Future cancellation dates are copied over to new Team Members.

  • All Membership Plan Extras of all Members’ plans are added to new team plan.

    • Free plan extras will not be added.

  • When logging in to their Member portal, Members will see their new Team memberships and not the old ones anymore.

    • Members will still use their existing emails and passwords to log in.

    • Photos and community profiles are moved to new Team Members.

    • Bookings that have not yet been invoiced are migrated to new Team Members.

PRO TIP

Notify your Members of the change BEFORE you convert the to the new team (especially the person who will be the new Team Manager). This way you will not be bombarded with questions once the change happens.
