The Cobot Member Overview Dashboard is a user-friendly interface for managing all member data in one place. It allows you to view and filter members by their status—such as Recently Active, Current, Canceled, and Unconfirmed—and includes robust search capabilities for quick access by name, plan or email.

With options for bulk actions, you can efficiently send messages, update member plans, and connect new members to their accounts.

Access the Member Overview under Manage » Members

Member Statuses / Lists

There are four main lists that show your members’ status. This list is at the top of the page.

Above the member list, there is a filter bar outlined in red, with options such as "Recently Active," "Current," "Canceled," and "Unconfirmed," each displayed as selectable buttons. The table headers below the filter include "Name / Company," "Plan / Price," "Payment Method," and "Status."

Recently Active: Lists all members active in your space within the last 30 days, as well as any member with recent account activity, such as a paid invoice.

Current: Includes all currently active members in your space, including recently active members.

Canceled: Shows all members whose memberships you have canceled or have been canceled directly by the member.

Unconfirmed: Displays members pending your approval (only if you’ve set the plan to require new member approval in Membership Plan settings).

There is an additional Status list next to each member's name that provides additional information on the status of their membership:

The "Connection Status" column, outlined in red, shows options such as "Not Connected," "Invitation Pending," and renewal or cancellation details. Next to each connection status, there are clickable "Connect" buttons, and a red "Confirm/Reject" button is visible at the top of the column.

Not Connected: Member was added manually and is not connected to their member account yet, OR member registered themselves and is awaiting confirmation from an admin.

Confirmed: Member signed themselves up or was manually added, they are connected to their member portal, and they have no recurring fee on their membership.

Invitation Pending: Admin manually added member and sent them a connect request inviting them to connect to their member portal. The member has not yet completed the connection process.

Renews on (Date): Member is connected to their member portal and is on a membership with a recurring fee.

Canceled to (Date): Date the membership was canceled.

Searching for Members

Use the search field at the top right of the page to filter members by name, plan, status, or accounting code. Searches only return results specific to the list you’ve selected (Recently Active, Current, or Canceled).

After submitting a search, you’ll see a new "All" filter, allowing you to search across all lists, including Current, Canceled, and Unconfirmed.

Bulk Actions

Bulk actions provide efficient ways to message members, connect new members to their Cobot account, or update multiple member plans at once.

With Bulk Actions, you can:

Send Message to List: Draft an email to all members returned in the selected list. For example, after searching by membership plan, you can email members with a specific plan or payment method.

Bulk Connect: Connect new members to their Cobot accounts, allowing them to view invoices, update contact details, interact with others, and make reservations via their member portal.

Bulk Change Plans: Update all existing members to reflect changes made to a master plan or move a group of members from one plan to another.

PRO TIP

  • Use the Search field to define your list before you do a bulk action.

    • For example, search the plan name before doing a Bulk Plan Change.

Member Profiles

Click on a member’s name to access their profile page, where you can view and update details such as their plan, time passes, attendance, invoices, membership status and much, much more.

Activity Feed

Each profile includes an activity feed on the right side, enabling you to track recent actions. You can also add a "sticky note" to keep specific information at the top of the page. Scroll down and click "More" to see the full activity feed.
