Events

Events are a beneficial way to help maximize your revenue. Cobot makes it easy for both members and public visitors to register.

Set up public and private events, sell tickets to members and visitors, manage attendees, and handle payments.

This guide will cover:

Creating an Event

To create a new event, go to Manage » Events » New Event.

Under Basic Settings, you can:

  • Add an Event Title

  • Select a Date, Time, and Duration

  • Add necessary instructions for your location

  • Insert a URL for an event taking place online or hybrid (both on-site and online)

Once you have customized your Basic Settings, you can now conveniently choose if:

  • You would like it to be a free or a paid event

  • This event has a capacity limit

  • Whether visitors could attend

  • The event is exclusively for members

Switching on the Public Page option allows you to generate a link admins and members can use for embedding or sharing outside of Cobot. It will also publicly display the event on your Events page on your Cobot Homepage.

The next step would be to add an image, as well as a description. You can also create Tags as a convenient and practical way for your members to find similar events.

Will your event take place in meeting rooms or event spaces? Make sure they’re blocked in the Booking Calendar! Just select the resource and it will automatically block off the event time for you in the calendar.

Your members receive an automated email confirmation when they register for an event. You can add a custom message to this email.

Once you have filled out the form, you can save the event as a draft to be completed or edited later, or you can save and post the event. This will make the event visible to visitors, members, or both, depending on whether you have made the event public.

Event Member Portal

Events will appear on a separate Events tab within your member portal view. Here they can see upcoming events, look at events they have confirmed attendance to, and see all past events.

They can see the event’s details by clicking on the Event title.


Events for the Public

Any events that are made public will appear on a public-facing Events page on your Cobot homepage:

This page will list all events with a public page, including members-only events. Similar to Drop-in Passes and External Bookings, a visitor can select the event they want to attend and go through a checkout process to purchase an event ticket.

Once they have clicked the event they want to attend, they can select the number of tickets and complete the check out process. Keep reading to learn how to collect payments for public attendees.


Payments & Invoicing for Public Attendees

Use automatic or manual payment methods to sell tickets to the public/visitors to your space.

Manage your invoices through the primary invoice section under Manage » Invoices.

Automated Payments

There are currently two gateways you can connect to Cobot to collect automated payments; STRIPE or PayPal.

First, set up a merchant account with one (or both!) and then connect it to Cobot under Setup » Payment Methods » Add Payment Method.

After connecting your account, enable it for public event tickets in the payment method settings, and you're all set!

Manual Payments

Manual payment methods allow public visitors to reserve an event ticket without paying immediately. Tickets reserved when a manual payment method is chosen will need to be reconciled manually by a member of your team.

You can add as many manual payment methods as you want, like cash or bank transfer, under Setup » Payment Methods » Add Payment Method » Add Manual Payment Method.

In the Instructions box, include details for your visitors to follow, such as how to pay once they arrive in your space.

Your visitor can now choose any visible automated and manual payment methods during their check-out process. Here is an example of how this will look when you have multiple manual and automated payment methods activated:

If the payment is successful, they will see a success message and receive an email with the event details. You can edit the email template under customize » emails.

Refunds

Refunding directly from Cobot is not currently possible; you must do this from your STRIPE or PayPal dashboards.

After issuing your refund, create a free-form invoice in Cobot with the negative amount to offset the original invoice. This way, your analytics will be correct.

Analytics

Your Analytics will reflect all income generated by event ticket sales, whether from members or public guests. You’ll gain advanced access to key metrics and payment data within your Analytics dashboard.

Event Embed Codes

You can embed many public events outside of Cobot. Go to Manage » Events » Embed Code. Copy and paste the code into any web page where you can edit the HTML such as Wordpress and Wix.

When visitors click the widget links, they’ll be taken to the public page for the event they clicked on.

At this point, visitors can buy the ticket.

You can customize its design by editing the CSS (in the top section of the widget code).


Managing Attendees

You can see a list of attendees for any event by clicking on the specific event you want under Events.

You'll then be taken to the overview page for the specific event and see your attendees in a list at the bottom:

Clicking on their name will take you to either their Member page (if their status is Member) or to their Contact page (if their status is Contact). From there, you will be able to manage further details.


Processing Fees

This premium feature is seamlessly included in your core subscription at no extra cost; we only apply a 3% processing fee for visitor tickets, never for member tickets.

Events with no charge to visitors do not have processing fees applied.
