Importing Your Existing Members Into Cobot

Easily import your existing members from another tool into Cobot.

If you already have a member list and would like to seamlessly import your member data into Cobot, follow these instructions to ensure a smooth process. Our support team is here to assist you throughout the journey.

Here is what this guide will cover:


Step 1: Request the Data Import Template

Contact our support team at support@cobot.me to request the member data import template. This template will serve as the foundation for importing your members' information.

Step 2: Fill Out the Template

Carefully fill out the template with accurate information for each member you want to import. The following details are mandatory:

- Member Name

- *Plan Name

- Start Date

- Next Invoice Date

*Plan Names

In the 'Plan Name' column, enter the names of the plans the member should be connected to in Cobot. It's essential that you enter the plan names exactly as they appear in your Cobot account as we'll need corresponding plans to assign to the imported members. You can find these names under Setup » Plan Templates in your Cobot account.

Maintain Consistency in Company Names

If you're including company names, ensure uniformity for each member. Avoid using abbreviations or making changes in spelling. Consistent company names will prevent the import process from identifying them as separate entities.

Handling 'Paid For By' Information

If you're adding a name or company to the 'paid for by' column, ensure that these names or companies exist as members within the sheet. Add them to the sheet if they're not already there. Additionally, the names should match exactly as they appear in the member profiles.

Incorporate Custom Fields (if needed)

Custom fields can be utilized to include additional information such as license plate numbers or other personal data. If you wish to add custom fields, create a separate column for each piece of custom information you want to include.

Data to Exclude

Please note that we're unable to import certain data, including past invoices, payment methods, and booking histories.

Step 3: Submit Completed Templates

Once you've populated the template with accurate and complete member data, save it as a .csv or .xlsx file. Then, email the CSV file to us at support@cobot.me. Our team will review the data and import your date for you.

Step 4: Send Members Invitations to Connect

Once your members have been imported, you will see them listed in your member overview. Your new members will not receive any emails or invitations from Cobot once they have been added. The next step is to send them an invitation so they can connect to Cobot. Check out this guide to learn more.
