Host events and sell tickets, all in one place effortlessly with events. This free add-on also allows you to track attendance.

*Event visitors are not counted towards your subscription.

Creating an Event

To create a new event, go to Manage » Events » New Event. A form will pop up where you can add all relevant details. The more information you add, the better it is for members and visitors, so don't be shy!

In this form, you can:

 • Add an Event Title

 • Select a Date, Time, and Duration

 • Add necessary instructions for your location

 • Insert a URL for an event taking place online or hybrid (both on-site and online)

A form interface titled "New Event" is displayed. It includes fields for event title, date (set to 23.02.2024), time (17:00 to 18:00), duration (1 hour), location, and an optional online event URL. The left sidebar shows navigation options like Dashboard, Calendar, Events, Members, and Help Desk.

Once you have customized your Basic Settings, you can now conveniently choose if:

 • You would like it to be a free or a paid event

 • This event has a capacity limit

 • Whether visitors could attend

 • The event is exclusively for members

A settings panel titled "Tickets & Visibility" displays four toggle options, all currently turned off: "This is a paid event," "This event has a capacity limit," "Public Page" (which enables visitor registration and ticket sales), and "Members only" (restricting ticket registration to members, though the event remains publicly visible).

Switching on the Public Page option allows you to generate a link admins and members can use for embedding or sharing outside of Cobot. It will also publicly display the event on your Events page on your Cobot Homepage.

The next step would be to add an image, as well as a description. You can also create Tags as a convenient and practical way for your members to find similar events.

A customization panel for an event displays an uploaded event image above options to upload or remove the image, or choose a fallback color. The event description reads: "Let's celebrate the best time of year! Open for all friends & family of the community." A single tag labeled "Party" is added below to help categorize the event.

Will your event take place in meeting rooms or event spaces? Make sure they’re blocked in the Booking Calendar! Just select the resource and it will automatically block off the event time for you in the calendar.

Your members receive an automated email confirmation when they register for an event. You can add a custom message to this email.

A section of an event setup form showing options for selecting resources like meeting rooms or equipment, with a dropdown labeled "Select a resource" and a faded option to "Add another resource." Below is an "Advanced" section with a toggle to add a custom message to confirmation emails sent to attendees.

Once you have filled out the form, you can save the event as a draft to be completed or edited later, or you can save and post the event. This will make the event visible to visitors, members, or both, depending on whether you have made the event public.

See all of your Events in a list under Manage » Events:

A dashboard view of an event management page showing two upcoming events. The first is "Free Pancake Day," which is free for members and not open to visitors. The second is "InnovateHER: Women in Tech Conference," with a ticket cost for members and a higher fee for visitors. The sidebar menu includes options like Dashboard, Members, Events, Invoices, and more. Filters for Women, Tech, Free, and Untagged are active. Dates for the events are shown as general timeframes like “early June” and “mid-June.”

Event Member Portal

Events will appear in a few places:

 1. Whenever a new event is published, it is posted to the members Member Portal Dashboard. They can see the event’s details by clicking on "See Event" next to the event posting.

Member dashboard view of Lifeboat Coworking. A welcome message is shown along with an upcoming event called “Free Pancake Day,” listed for early June at 10:00. A “See event” link is provided. The sidebar menu includes Dashboard, Calendar, Community, Events, and more.

2. In their Events tab within the member portal view. Here they can see upcoming events, look at events they have confirmed attendance to, and see all past events.

Events for the Public

Any events that are made public will appear on a public-facing Events page on your Cobot homepage:

Public-facing event listings for “Your Space.” Two calendar-themed workshops are shown: “Scheduling Workshop” and “Advanced Scheduling Workshop,” each with event details, pricing (25 EUR and 500 USD respectively), and a "Get Ticket" button. Events are scheduled for late winter and early spring at 9:00 AM. The navigation bar includes links for Memberships & Passes, Rooms & Resources, and Events.

This page will list all events with a public page, including members-only events. Similar to Drop-in Passes and External Bookings, a visitor can select the event they want to attend and go through a checkout process to purchase an event ticket.

Once they have clicked the event they want to attend, they can select the number of tickets and complete the check out process. Keep reading to learn how to collect payments for public attendees.

Payments & Invoicing for Public Attendees

Use automatic or manual payment methods to sell tickets to the public/visitors to your space.

Manage your invoices through the primary invoice section under Manage » Invoices.

Automated Payments

There are currently two gateways you can connect to Cobot to collect automated payments; STRIPE or PayPal.

First, set up a merchant account with one (or both!) and then connect it to Cobot under Setup » Payment Methods » Add Payment Method.

After connecting your account, enable it for public event tickets in the payment method settings, and you're all set!

Manual Payment setup screen showing a custom “Cash Payment” method. Instructions read: “Please bring your cash payment up the front desk.” Options selected include: Hidden from members, Enable for external bookings, Enable for drop-in passes, and Enable for public event tickets. A blue “Update Payment Method” button is at the bottom.

Manual Payments

Manual payment methods allow public visitors to reserve an event ticket without paying immediately. Tickets reserved when a manual payment method is chosen will need to be reconciled manually by a member of your team.

You can add as many manual payment methods as you want, like cash or bank transfer, under Setup » Payment Methods » Add Payment Method » Add Manual Payment Method.

In the Instructions box, include details for your visitors to follow, such as how to pay once they arrive in your space.

Manual Payment settings screen titled “Cash Payment.” Instructions say: “Please bring your cash payment up the front desk.” Checkboxes indicate the method is hidden from members and enabled for external bookings, drop-in passes, and public event tickets. A blue “Update Payment Method” button is shown at the bottom.

Click here to read more on manual payment methods and how to set them up.

Your visitor can now choose any visible automated and manual payment methods during their check-out process. Here is an example of how this will look when you have multiple manual and automated payment methods activated:

Payment screen for a “Scheduling Workshop” ticket showing manual and automated payment options. Manual options include Bank Transfer and Cash Payment, while automated options include Credit Card (via Stripe) and PayPal. An order summary on the right shows 1 ticket for €25.00, with a greyed-out “Buy Ticket” button.

If the payment is successful, they will see a success message and receive an email with the event details. You can edit the email template under customize » emails.

Confirmation screen showing a successful purchase for a “Scheduling Workshop.” The screen confirms 1 ticket purchased for €25.00 with the workshop scheduled from 09:00 to 10:30. The event location is listed as “Roof Terrace lounge” at “Your Space” in Los Angeles, California. A green checkmark appears at the top.

Refunds

Refunding directly from Cobot is not currently possible; you must do this from your STRIPE or PayPal dashboards.

After issuing your refund, create a free-form invoice in Cobot with the negative amount to offset the original invoice. This way, your analytics will be correct.

Analytics

Your Analytics will reflect all income generated by event ticket sales, whether from members or public guests. You’ll gain advanced access to key metrics and payment data within your Analytics dashboard.

Check these out under Analyze » Revenue and Analyze » Bookings.

Easily download a .csv of your event attendees by clicking on the event » csv.

The attendee’s status is labeled “Contact.” A “CSV” download button is highlighted in the top right corner.

Event Embed Codes

You can embed many public events outside of Cobot. Go to Manage » Events » Embed Code. Copy and paste the code into any web page where you can edit the HTML such as Wordpress and Wix.

When visitors click the widget links, they’ll be taken to the public page for the event they clicked on.

At this point, visitors can buy the ticket.

You can customize its design by editing the CSS (in the top section of the widget code).

Managing Attendees

You can see a list of attendees for any event by clicking on the specific event you want under Events.

You'll then be taken to the overview page for the specific event and see your attendees in a list at the bottom:

Tickets cost $5.00 for both members and visitors, with 4 of 23 spots registered. The Ground Floor Meeting Room is booked. Four attendees are listed with RSVP dates of Feb 9, 2024—three labeled “Contact” and one labeled “Member.”

Clicking on their name will take you to either their Member page (if their status is Member) or to their Contact page (if their status is Contact). From there, you will be able to manage further details.

The status tag reads “event,” indicating this contact has only attended an event and is not a full member. Contact details, address, and options to convert to member or edit are also visible.

Processing Fees

This premium feature is seamlessly included in your core subscription at no extra cost; we only apply a 3% processing fee for visitor tickets, never for member tickets. Processing fees apply for visitor tickets only, never for members.

Events with no charge to visitors do not have processing fees applied.

You can find a breakdown of all processing fee payouts under Cobot Invoices » Processing Fees.

View of the "Invoices for your space" section under Setup > Billing & Subscription in the admin panel. The list shows processing fees for external bookings and drop-in passes by contact, type, product, price, and fee due. Amanda, Lua, and others have charges listed. The highlighted UI elements include (1) account settings dropdown opened from the profile icon and (2) the "Processing Fees" tab selected at the top of the invoice table.
