Dormakaba Exivo is the access control solution for spaces seeking to securely grant their members the correct space permissions – using their mobile's or their existing SwissPass. It's designed for both data security and ease of use.

This guide will walk you through how to connect your Cobot account to your Dormakaba account.

1. Setting up Your Dormakaba Account

Before connecting Cobot and Dormakaba, you will have to set up the following parts in your Dormakaba account:

  • Doors (e.g., "Main entrance.")

  • At least one Access Group (e.g., "Staff", "Management", "Full Time Member", etc.).

    • Your access groups will determine your member's access rights in your space. Members are automatically associated with access groups based on their member plans and bookings in Cobot.

2. Connecting Cobot and Dormakaba

Once you have set up your access groups in your Dormakaba account, you can connect it to Cobot:

1. Log in to the Admin side of your Cobot account.

2. Click on Add-ons » Available Add-ons » Dormakaba Exivo » Integration von Spaces einrichten » Setup. You will see this screen prompting you to add your API Key (API-Schlüssel):

3. Copy and paste the API information from your Dormakaba account under 'API Settings':

4. After clicking on 'Speichern,' you will be redirected to your Cobot account. You will now be able to find the integration under Setup » Dormakaba Exivo. Finish the setup by completing the following:

  • Ressourcen: Assign your Cobot resources to Access Zones. This will allow your members to access resources only when they have a valid booking in the Cobot calendar.

  • Tarife: This will connect your Cobot plans to the corresponding Access Groups in Dormakaba. This defines whether or not members have access to specific doors in your space. This is not tied to the time booked on the resource calendar but active memberships or time passes.

Important notes on time passes:

  • Time pass access is not restricted by the 'valid for timespan' settings.

    • For example: If your pass has a 'valid for timespan' setting of 10 am - 5 pm, and the member access' your space at 9 am, they will still be able to gain access but will NOT be checked in. Only when they access your space within the valid for timespan time frame will they be checked in.

    • Time pass members will only lose access if there are no time passes left on their accounts, so be sure to make it clear that they will need to purchase time passes BEFORE accessing your space.

  • Mobile Access: Members can access your space by using their mobile phones. Make sure to activate 'mobile access' in your Dormakaba account first.

  • Webhooks: These ensure that Cobot is informed about events and changes on the Dormakaba side and are needed for the integration to work. Without it, members are not checked in when they open a door, and time passes are not deducted accordingly. Full instructions are available under the 'Dormakaba Webhooks' tab in Cobot.


3. Giving Members Access to Your Space

There are two ways of granting your members access to your space:

  • Mobile access

  • SwissPass access

Mobile access

In addition to SwissPass access, the integration now also enables mobile access. To set this up:

  1. Activate "mobile access" in your Dormakaba account.

  2. Activate the feature "Show phone on member signup" and "Phone required on member signup" in Cobot under Customize » Features » Signup.

Once mobile access is activated, new members can register their phone numbers and access your space with their phones. These are the steps they would need to take to get access:

  1. Sign up on a Cobot plan and add their phone number at signup.

  2. After an admin confirms their membership, the member will receive an SMS with the instruction to download the Dormakaba Exivo App in their App Store or Google Play Store.

  3. After downloading the app, the member is prompted to register with their phone number and a code sent to them via SMS.

  4. Afterward, the member can see all their available locks and hold their phone in front of doors to open them.

SwissPass Access

After setting up the integration, your members will see an additional page for 'SwissPass & Zugang' within their member portal. They will need to enter their SwissPassID and PLZ once to register so Cobot knows who they are.

After this, they hold their pass in front of the lock to open the doors associated with their membership.

3a. Time Pass Access

When Time Passes are populated on your membership plans, members will only access your space when they have time passes. If they have no time passes on file, access is blocked. The member must purchase new passes for renewed access.

When the member first enters your space, a pass is deducted. After this, they can use the space as usual, and no further time passes are deducted, no matter how many doors they open.

Important notes on time passes:

  • Time pass access is not restricted by the 'valid for timespan' settings.

4. Blocking & Revoking Access

Only active/current Cobot members will be able to access your space. In other words: Access will be automatically denied to any member who does not have an active membership in Cobot.
